Practical guides

Prepare an event quote your client can understand

A useful quote explains the service, price and decisions the client needs to make. This method helps you prepare a DJ, photography, video or photo booth proposal without missing operational details.

1. Define the scope before the price

Review the client's needs: event type, date, venue, timings and expected result. Ask about constraints that change your work, such as stairs, outdoor setup or a late finish.

Distinguish service time in front of guests from installation time. If travel or technical support is included, say so. Specific wording reduces different interpretations when preparing the event.

2. Separate the package and the options

  • Package: what the client receives, included time and quantities.
  • Options: price, unit and when a choice is needed before booking.
  • Logistics: delivery, travel, setup and teardown.
  • Documents: identities of the parties, proposal validity and applicable conditions.
  • Payment: agreed dates and methods that are actually available.

3. Use an example to check clarity

For a photo booth, separate the rental, included prints and any attendant. For a DJ, state sound coverage times and the charge for additional hours. For a photographer, describe the hours on site and the agreed deliverables.

Read the proposal as someone unfamiliar with your business. Can they find the total, options not selected and next step? Example figures are not pricing advice: calculate your own prices from costs and your offer.

4. Check before sending and signing

Check the date in the calendar, required resources and client details. Then verify amounts, applicable taxes and conditions with the appropriate people for your company.

In Gestiway, the catalogue and templates mean you do not need to start with a blank document. Always adapt clauses to the record. If using code-based email signing, check email delivery and test the complete journey first.
