1. Separate enquiries, holds and confirmations
An enquiry is not a booking. Define when to place a hold, how long it lasts and the confirmation conditions. Set a review date so you can release holds that are no longer valid.
Apply the rule to every enquiry, including telephone and partner referrals. A perfect calendar is no help if some commitments remain only in the team's personal messages.
2. Reserve a realistic period
Review setup, service, teardown and return timings. Account for travel, charging or cleaning before the next job. Check events that run past midnight and Sunday returns.
For example, a booth used until 2 am on Saturday night cannot be promised for Sunday morning if its return, inspection and next delivery cannot actually fit. A new calendar date does not automatically make equipment available.
3. Check every resource
- Assigned people or teams and their unavailable periods.
- Required equipment quantities by category.
- Essential accessories: cables, backdrops, printers or stands.
- Equipment unavailable for maintenance.
- Consistency between the accepted quote and allocated resources.
4. Make a final check before confirming
Before confirming, open the record and compare the quote, schedule and assignments. Resolve a conflict before committing: another time, a different offer or arrangements discussed with the client.
Gestiway brings calendar and equipment together to support this check. An ICS feed into an external calendar can refresh with a delay: use the application as your reference when accepting a booking. Review the schedule again after a venue or timing change.
Frequently asked questions
Can I rely only on my personal calendar?
A calendar shows dates but may not show equipment quantities, maintenance or all staff assignments. Check them together before confirming.
What if two clients want the same slot?
Follow a clear hold policy, check resources actually available and communicate before committing. Do not confirm incompatible services.
