Connect the deposit and final invoice
Prepare a deposit invoice from the quote and record the payment when you actually receive it. Deduct previously invoiced deposits at the final stage to keep the record clear. Sending a document does not mean its amount has been received.
A calculation example excluding VAT: for a €1,200 service, a €360 deposit leaves €840 to pay. If the client pays only €200, payment tracking should show that partial payment rather than mark the deposit as fully settled.
Keep a record of corrections
- Issued invoices are immutable, with document numbering and tracking.
- Corrections use credit notes rather than changes to the issued original.
- Record partial payments and see overdue amounts.
- Export data and documents for your own records and your accountant.
Check the invoicing framework
Gestiway uses euros and a French invoicing model. Selecting English or Spanish does not change the tax framework. It should not be treated as automatic compliance with every country's requirements.
Generating Factur-X is separate from effective transmission through an accredited platform. Card payments depend on activating Stripe; bank transfers can be tracked by recording receipt. Check these services before promising online payment to clients.
Frequently asked questions
Is an invoice automatically paid when sent?
No. Its status must reflect a payment actually received or confirmed by an operational payment integration. Invoicing and receiving money are different records.
Does Gestiway replace my accountant?
The software organises documents and payments. VAT choices, tax obligations and bookkeeping must be checked for your company.
